1. Introduction & Company Overview

Sri Ganapathy Pavers & Bricks is engaged in manufacturing paver blocks, compound walls, and drainage systems.

They handle multiple projects for a single customer, and their business model requires project-wise cost tracking to ensure accuracy and profitability.

2. Problem Statement

Before ERP implementation, the company faced several challenges:

  1. No proper system for tracking project-wise incomes and expenses.
  2. Manual tracking caused mismatches and errors when engineers managed multiple sites.
  3. Lack of real-time visibility into production costs, scrap, losses, and project progress.
  4. Difficulty in generating instant quotations during customer site visits.
  5. In some cases, multiple customers were linked to the same project, which was difficult to handle in their manual system.

3. Solution Implemented

a) Project & Site Work Management

  1. For every customer, both a Sales Order and Site Work (Project) Doctype are created.
  2. The Site Work module integrates with paver manufacturing, transport, fuel, laying, and journal entry expenses.
  3. All income and expenses are mapped against each project to give clear profitability insights.
  4. Multiple customer handling: In cases where more than one customer is linked to the same project, ERP was customized to allow mapping multiple customers against a single Site Work. This ensured flexibility and accurate income tracking.

b) Paver Manufacturing Doctype

  1. A custom Paver Manufacturing Doctype was created with BOM linkage.
  2. Tracks item-wise production cost, scrap cost, and loss percentage.
  3. Automatically generates Stock Entries for raw materials and finished goods.

c) Financial Tracking

  1. Journal Entries record all transport, fuel, labor laying costs, and miscellaneous expenses related to each site.
  2. This enables accurate profitability analysis per project.

d) Mobile App & Quotation Process

  1. Engineers take site measurements using a mobile app.
  2. Data is sent instantly to the design team.
  3. The design team prepares quotations on the spot, avoiding delays and miscommunication.

e) Custom Reports & Print Formats

  1. Monthly production reports: Track total paver output per month.
  2. Item-wise production details: Monitor specific product categories.
  3. Project-wise expense reports: Capture total spending on site works.
  4. Custom print formats for quotations, delivery challans, and cost sheets.
